Operations and Finance Manager

Job Description:

The Finance and Operations Manager ensures the financial health and operational effectiveness of the
organization. This role combines hands-on bookkeeping, financial management & strategy, HR administration, and event logistics support. As part of a small and collaborative team, the Manager
contributes to both the day-to-day running of the organization and the successful delivery of its programs and events. Working closely with the Executive Director and a small, committed staff team, the Manager ensures that the organization’s resources are well-managed and aligned with its mission.

JOB DUTIES AND RESPONSIBILITIES:

1) Finance and Bookkeeping (50%)

  • This position is the lead on Dignity Network Canada’s internal financial and organizational infrastructure. The position identifies best practices and improves internal systems with an eye toward future needs and budget realities – specifically, supporting improved information flow, financial processes and organizational planning.
  • Manage vendor relationships including contractors, office supplies, insurance, technology and online services, etc.
  • Working with the Executive Director and Finance Consultant, this position is responsible for day-to-day management and the development of the network’s financial operations including but not limited to:
    • Perform day-to-day bookkeeping function including general ledger, accounts payable accounts receivable, payroll, bank reconciliations, credit card and expense claims management.
    • Maintain accurate and up-to-date financial records in QBO.
    • Prepare monthly financial statements for management and quarterly reports for the Finance Committee and Board of Directors
    • Prepare financial reports for funders and donors.
    • Support the development and management of annual budgets and forecasts with the Executive Director and Finance Consultant.
    • Track and reconcile grant budgets and restricted/unrestricted funds.
    • Track, reconcile and acknowledge any donations.
    • Prepare year-end working papers and financial statements and act as primary liaison with external auditors.
    • Ensure compliance with CRA and other regulatory requirements.

2) Operations & Administration (25%)

  • Lead all of Dignity Network Canada’s operations and administrative processes and systems.
  • Review, assess and update existing policies, procedures and systems as needed.
  • Oversee office systems, technology, supplies, and vendor relationships.
  • Maintain organizational policies, procedures, and risk management processes and work with the respective Board committee on review and revisions to policy.
  • Administration of insurance, contracts, and data protection practices.
  • Administration of a small donor database system.
  • Support Board of Directors with meeting logistics, records, and minutes, in collaboration with Board Secretary.

3) Event Logistics (15%)

  • Events are a central element of our work and driver of member engagement. Their success is critical to Dignity Network Canada’s overall success. This position supports events from conception through to completion through effective project management skills. This includes a mix of in-person and virtual events throughout the year.
  • Working closely with the staff team around the new CHOICE project with Oxfam Canada to deliver virtual and in-person public engagement events with our members across Canada related to international SOGIESC issues.
  • Coordination and support to Dignity Network Canada’s international roundtable meetings, which bring together our members, international partners and government stakeholders every two years.

4) Human Resources (10%)

  • Responsible and accountable for the smooth running of all HR operations, through strong and secure infrastructure and a healthy and equitable workplace. This includes working with the Executive Director and the Board of Directors on developing and improving organizational policies, procedures, and improvements to our employee handbook.
  • Administer employee records, contracts, benefits, and leave tracking.
  • Support recruitment, onboarding, and training processes.
  • Promote equity, inclusion, and wellbeing in organizational practices.

5) General Responsibilities

  • Comply with all DNC policies, procedures, and codes of conduct;
  • Actively participate in any team meetings, and providing input towards the goals of DNC.
  • Support the recruitment of and supervising of any interns, volunteers, consultants and short-term contract staff, as requested.
  • Provide support to the DNC Executive Director and Director of Programmes, Partnerships and Learning in the preparation of funding proposals and evaluation reports.
  • Support the DNC Executive Director, Board of Directors, Committees and Working Groups in the ongoing implementation of strategic directions, as requested

Person Description:

  • Demonstrated experience in the not-for-profit sector in finance, operations and administration, especially complex multi-organizational coalitions and networks;
  • Minimum of five (5) years experience in a senior accountant role;
  • Ability to manage budgets, including budget monitoring and working with financial tracking systems;
  • Experience with QBO, Excel, Outlook, Asana and MS Word;
  • Experience with Payworks or similar payroll processing system an asset.
  • Demonstrated ability to work effectively with volunteers and volunteer committees and with a variety of perspectives and approaches;
  • Flexibility in scheduling and ability to work remotely;
  • Knowledge of SOGIESC-related issues and human rights in an international context, an asset;
  • Exceptional relationship management skills and the ability to bring diverse perspectives towards a consensus;
  • Proven track record of effective diplomatic correspondence and engagement with stakeholders;
  • Demonstrated commitment to anti-oppression and anti-racist principles and practices;
  • Bilingual in English and French a significant asset (ability to communicate professionally in meetings and written exchanges in both languages).
