Accounting Officer

Working directly with Senior Manager of Finance and Operations, the Accounting Officer supports Cooperation Canada’s day-to-day operations by carrying out finance & accounting functions across the financial management cycle. This position is an essential part of our small but mighty operations team. More specifically, this position plays an important role related to accounts receivable, accounts payable, and bank reconciliations as well as payroll, including communicating with vendors and staff. The position supports the establishment of processes and guidelines to ensure the smooth functioning of Cooperation Canada’s financial systems and accompanies our staff in understanding how to apply them along the way. With time, they will support project financial management by applying donor regulations consistently and supporting program managers with their donor reporting. They help identify improvements to internal controls as appropriate. Overall, they accompany the Senior Manager of Finance & Operations in their duties and provide a helping hand wherever they can. In addition to their finance work, the Accounting Officer may support other areas needing administrative support across the organisation, time-permitting.

ABOUT YOU

You are familiar with accounting standards and are excited to apply them to an organization that supports international cooperation. You are enthusiastic about taking on a variety of tasks and will take pride in seeing them through. You bring experience with accounting software (we use QuickBooks Online) and are comfortable using standard MS Office Tools, Teams, and SharePoint. You love working with others and helping them complete their tasks, and you are polite and approachable. You have a keen eye for systems and process improvements and have no problem using your high organizational skills to get things done quickly. You are excited to learn more about project finance and administration in a small non-profit organization and are keen to grow your skills.

If you speak French, you will be an even greater asset to the team, but even simply an interest in improving your French skills will go a long way with our staff, vendors, and partners.

JOB DUTIES AND RESPONSIBILITIES

Financial Accounting (70%)

  • Manage all entries into the organization’s accounting program (QuickBooks Online)
  • Manage Accounts Payable, including responding to vendor inquiries;
  • Manage Accounts Receivable including follow-up on unpaid invoices with members and responding to members’ questions;
  • Perform bank and credit card reconciliations;
  • Manage corporate credit cards following Cooperation Canada internal control guidance;
  • Prepare bank deposits;
  • Prepare the HST returns as required;
  • Collect, calculate and enter data in the system in order to maintain and update payroll information;
  • Process payroll for employees;
  • Prepare payment requisitions for invoices, credit cards, and staff reimbursement;
  • Assist and enter inventory entries and adjustments;
  • Other duties as assigned by supervisor or manager

Audits (10%)

  • Assist with annual Audit preparation, including completing year-end working paper packages for the auditors;
  • Assist the Senior Manager, Finance and Operations, with preparations for project audits

Financial Reporting (10%)

  • Support the Senior Manager around project financial reporting, as needed
  • Assist the Senior Manager, Finance and Operations, with preparation of any other financial reports requested by the CEO or the Board of Directors;

Office Management (10%)

  • Handle mail and other routine correspondence, as needed;
  • Scan financial and other administrative records and save on network drive
  • Supports the management of office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed and that clerical functions are properly assigned and monitored
  • Support the administration of human resources matters as needed

REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES

Essential

  • Post-secondary education in Finance, Accounting and/or Business, or a related field
  • Demonstrated accounting experience mandatory, ideally in a non-profit environment (not mandatory)
  • Demonstrated planning and execution skills in a multi-tasking environment;
  • Working knowledge of QuickBooks;
  • Knowledge of financial analysis tools, administrative processes and procedures;
  • Excellent computer literacy including Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Excellent customer service and relationship management skills;
  • Excellent written and verbal communication skills;
  • Demonstrated capacity to work independently and in a team environment;
  • Strong problem-solving skills;

What would make you stand out?

  • French language skills
  • Experience working in the Canadian and Ontario non-profit regulatory environment
  • Strong knowledge of QuickBooks Online
  • Experience managing grants and contributions from institutional donors in a non-profit context;
  • Knowledge of international development and humanitarian issues an asset.

Hours: Full-time 100%, or possibility of part-time, depending on candidate preferences (salary and responsibilities to be adjusted accordingly) Remote work may be possible
