The Accounts Payable & Gifts Administrator is an integral part of both the Finance and Philanthropy teams and works in close collaboration with members of both teams across all offices in Canada and Africa. Reporting to the Director of Finance and Senior Manager Philanthropy, the incumbent is responsible for weekly and monthly processing of payment requests and gifts received, coordinating, and ensuring smooth day-to-day financial operations. This position will be the first point of contact for external vendors and donors and will be responsible for reviewing incoming payment requests for accuracy and processing payments. They will also be responsible for ensuring incoming gifts are recorded to the appropriate fund and maintaining concordance between the Accounting and Fundraising databases.

HOW YOU WILL MAKE AN IMPACT

  1. Accounts Payable Processing (55%)
  • Review and process weekly payment requests and reconciliations in a timely manner and in accordance with organizational policies
  • Enter Accounts Payable invoices and payments in Financial Edge
  • Maintain Accounts Payable subledger, including ensuring completeness of supporting documentation attached in Financial Edge
  • Communicate with vendors/suppliers on Crossroads accounts and/or payments, as required
  • Prepare departmental payment requests and credit card reconciliations for approval
  • Provide internal training on functions related to role including AP processes and the Chart of Accounts
  1. Gifts Processing (35%)
  • Process monthly and one-time gifts from payment service providers in a timely manner
  • Deposit cheques to organization bank account
  • Issue one-time and annual tax receipts
  • Follow up on donor questions and update payment records
  • Reconcile between payment providers, Raiser’s Edge, Financial Edge, and bank accounts
  • Work closely with Philanthropy team to ensure integrity of donor data
  1. Administration and Other Duties (10%)
  • Process and distribute incoming mail for the Toronto and Montreal offices
  • Assist with filing and general office administration
  • Assist with ad-hoc finance and philanthropic duties
  • Support organizational goals and objectives as part of the strategic and operational plans

WHAT YOU WILL BRING TO CROSSROADS

  • Minimum language requirements:
    • English (advanced)
    • French knowledge is an asset
  • Post-secondary diploma in Accounting, Business Administration or relevant field
  • Minimum of one (1) year of full cycle accounting experience in a computerized environment
  • Knowledge and experience in applying relevant accounting principles (Canadian GAAP)
  • Previous experience within a not-for-profit environment is an asset; interest in international development and/or volunteer organizations preferred
  • Proficiency in MS Excel; experience with Financial Edge and Raiser’s Edge an asset
  • Very strong organizational skills with high attention to detail
