Tearfund Canada is a nimble and efficient $9 million member of the worldwide Tearfund family and the Canadian Foodgrains Bank. We have only 14 staff and concentrate our humanitarian aid and development efforts through excellent nationally-led partners in 8 countries in Africa and Asia, as well as Canada’s First Nations.

POSITION OVERVIEW
As an executive team member, the Director – Finance & Administration oversees finance systems, day-to-day financial operations, IT and data, administration, and facilities and drives overall organizational effectiveness, focusing on strengthening operational capacity and managing risk.
You bring strategic vision AND tactical finesse to using business tools and have a deep understanding of how to use data to drive business decisions.
You ensure all areas of responsibility are carried out in support of Tearfund’s mission, strategic priorities, policies, standards, and systems.
KEY PERFORMANCE AREAS
The Director – Finance & Administration is responsible for the administration of the following:
Financial Services – 60%
This person is the finance department of the organization.
- Prepares annual budget and analysis of income and giving patterns for projection purposes.
- Provides monthly reports and statements of Income & Expenditure on a timely basis
- Financial Analysis – provide ongoing financial analysis, projections and assessment and makes recommendations for streamlining to ensure efficiency and cost containment, advising the Executive Director on any economic issues relevant to the organization.
- Maintains accurate fund accounting per financial guidelines/policy provided by the CEO and Board of Directors.
- Monitors cash flow. Prepares projections for internal fund transfer purposes and transfers funds to international partners and the Tearfund equity account with the Canadian Foodgrains Bank.
- Ensure smooth operation of Accounts Payable, Payroll and Benefits, and Group retirement savings plan, and makes recommendations for improvement.
- Manages and invests the organization’s cash resources to provide security, liquidity and availability of funds.
- Prepares monthly reconciliations of bank accounts and reconciliation of Sage and Raiser’s Edge account balances. Monitors account receivable and employee travel advances. Enters all accounting data into the Sage system.
- Prepares the applications and supporting documents for GST and PST rebates.
- Prepares T3010 annual statement and other reports as required by the Canadian Revenue Agency, Global Affairs Canada, etc.
- Coordinates the business of the Board Audit Committee and prepares relevant financial information for the CEO and Board of Directors
- Coordinates annual audit and funder audits, consulting with the external auditors to ensure that generally accepted accounting principles are handling all significant accounting issues
- Reviews and ensures finance and administration policy and procedure manuals are kept up to date.
Organizational Administration – 30%
- Manages (and understands the complexities of) the processing and receipting of all donations through Raisers Edge (our present CRM) and interfacing that with reports to the fundraising and marketing teams.
- Build and manage corporate scorecards, dashboards and regular reports
- Manages IT services through an outside consultant to ensure organizational effectiveness
- Supports the CEO in human resources management
- Ensure compliance with legislation pertaining to Accessibility and Occupational Health and Safety Acts. Ensure effective and adequate policies, systems, and trained personnel are in place for Emergency/Incident Management
- Oversees negotiation and fulfillment of service contracts, including, but not limited to: office equipment, landlord, internet, file management, etc. Maintain internal control system for maintenance activities
Other duties as assigned – 10%

Skills, competencies and qualifications
- Passion. Fully aligned with the Mission, Vision, and Core Values of Tearfund Canada. Concern for and interest in issues of poverty, food security, and social justice
- Technical Prowess. We’re cloud-based. Digital proficiency in Sage, or similar accounting software, Microsoft Office and G Suite is a must, with demonstrated ability to merge documents and perform pivot tables. Digital communications, tracking, and tools are the norm. Experience with Raiser’s Edge, customer management systems or other database systems is part of everyday life.
