Events Coordinator and Administrator (Part Time, Temporary)

BACKGROUND

Dignity Network Canada (DNC) is a vibrant network of 60+ member organizations based in Canada, and a growing organization which works with, alongside, and on behalf of this network. Our shared vision is for a world in which people of diverse SOGIESC (often globally termed LGBTIQ+ communities) can survive, thrive, and be treated with dignity, everywhere. We work together to help build a movement in Canada, and globally, that can make this world a reality. Established in 2020, Dignity Network Canada is a national non-profit organization governed by a Board of Directors. During 17-18 November 2025, DNC will convene, together with partners, a strategic meeting focused on raising resources for global LGBTIQ+ rights movements and outcomes. This will convene key advocates and grantmakers from Canada and internationally.

JOB DESCRIPTION AND DUTIES

  • Act as first point of contact for all practical inquiries from delegates and staff internally in the lead up to the event
  • Source flight options and book flights for international delegates (in accordance with Global Affairs Canada’s flight booking policy) or check and approve this work if it is carried out by a third-party service
  • Liaise with the meeting venue and main hotel to ensure they have an accurate list of delegate names, dates, and other details required in the lead up to the event.
  • Ensure international delegates receive and sign for their per diems, including handling cash and working with the hotel to ensure efficient working
  • Source and manage appropriate catering and refreshments for delegates during the two-day convening, including meeting days (November 17th-18th) and evening social events on November 16th and 17th
  • Ensure delegate access and dietary needs are attended to during the events
  • Update spreadsheets with current information concerning delegate attendance, travel information, etc.
  • Ensure invoices and receipts are passed to relevant team members and filed in a timely manner
  • Attend weekly planning meetings concerning the event, and a final wrap-up meeting to debrief on event learning
  • Work with Dignity Network Canada team members in supporting broader staff and organizational engagement in the lead up to, and duration of the event
  • Other administrative or coordinating duties as required by the Director of Programmes, Partnerships, and Learning, and the Communications and Public Engagement Officer

PERSON DESCRIPTION

  • Strong organizational and project management skills; able to streamline digital filing systems, maintain internal records, and monitor project timelines.
  • Effective time management and ability to work flexible hours – availability in-person in Montreal, November 16-18 2025.
  • Strong oral, written, and digital communication skills in a team setting.
  • Team player with strong interpersonal and cross-cultural communication skills.
  • Interest in human rights, equity, and global LGBTIQ+ advocacy; experience in nonprofit, coalition, or community settings an asset.
  • Post secondary studies (can be concurrent with role) and/or extracurriculars related to project and event management, social sciences, human rights/social justice, international affairs an asset.
  • Bilingualism (especially French and/or Spanish) an asset.
  • Authorized to work in Canada.
  • Access to a device and a remote workplace for work-at-home tasks.
