Role Overview  

Reporting to the Director of Operations, the Web, Database, & IT Coordinator is the in-house expert on Action Canada’s website, constituent relationship management (CRM) database, and matters related to IT. The Web & IT Coordinator is responsible for overseeing Action Canada’s websites (Drupal), managing the organization’s CRM (CiviCRM), and troubleshooting IT-related issues. This position provides scope for someone who is passionate about tech and how to integrate best practices in a non-profit setting. The Web, Database, & IT Coordinator works closely with the Operations team, the Communications team, and the Sexual Rights Initiative team, based in Geneva, as well as collaborating with other members of our passionate, dedicated team, implementing domestic and global policy and advocacy programs.

Position Overview

The Officer’s responsibilities will include:

Website Management Responsibilities

  • Administer and maintain websites for Action Canada and the Sexual Rights Initiative
  • Administer website backend, including troubleshooting and managing relationships with third-party contractors as needed
  • Support and coordinate the development of new webpages and functionalities with staff and contracted web developers
  • Maintain knowledge of best practices for front-end functionality and accessibility
  • Review and recommend web-based tools, including website upgrades, plugins, and platforms to showcase our work.

Database/CRM Management Responsibilities

  • Administer and manage Action Canada’s constituent relationship management (CiviCRM) database
  • Provide internal expertise on CiviCRM
  • Support program staff to integrate Drupal webforms with CiviCRM
  • Ensure that our outgoing bulk email meets legal requirements
  • Ensure the security of all web-based data and websites.

IT Responsibilities

  • Oversee services provided by the organization’s managed IT service provider
  • Manage administrator accounts on organizational software tools including MS 365, Dropbox, Asana, Zoom, and Dashlane, including overseeing security, accounts additions and removals, and providing training and support to staff
  • In cooperation with the managed IT service provider, coordinate network security measures and protocols to ensure systems and data are protected and secure
  • Provide on-site or virtual tech support, as needed, during meetings and events
  • Coordinate troubleshooting (hardware and software), installation and configuration of computers and peripherals, and installation and configuration of software and applications with managed IT service provider
  • Review and recommend technical specifications for new desktop/laptop purchases, peripherals, software and apps
  • Support with the procurement of necessary devices and hardware
  • Administer Action Canada’s web-based phone system
  • Monitor shared mailboxes for projects and respond or refer to project staff
  • Set up project listservs as necessary and introduce to staff (Gaggle.email).

Qualifications

  • Eligible to work in Canada
  • Minimum of three years demonstrated IT and web-related experience
  • Knowledge of and commitment to Action Canada’s mission and values
  • Demonstrated commitment to anti-racism and anti-oppression principles and practices
  • Significant recent (Drupal 9) training and/or experience in site building with Drupal CMS (using Webform, Paragraph Layouts)
  • Significant experience maintaining CRMs (CiviCRM expertise is a strong asset)
  • Experience building and maintaining website functions and content
  • Experience overseeing web- and IT-related projects, ensuring that goals and timelines are met
  • Experience with data and online security practices
  • Understanding of the value of open-source software
  • Strong communication skills (verbal and written) in English
  • Familiarity with Microsoft 365, Dropbox for Business
  • Familiarity with Asana (or similar task management) is an asset
  • Familiarity with Zoom (Meetings and Webinars)
  • Familiarity with Google Workspace for Non-profits
  • Basic video editing skills are an asset
  • Experience supporting virtual team environments
  • Ability to effectively communicate and work with team members in different locations
  • Commitment to and demonstrated effectiveness working as part of a diverse and participatory team
  • Excellent organizational skills and the ability to effectively prioritize work and meet deadlines
  • Strategic thinking, sound judgment, and the ability to problem solve
  • Flexible and adaptive, able to respond quickly and effectively to changing circumstances
  • Willingness to work outside of normal business hours, when necessary
  • Experience working for a non-profit organization is a strong asset.

Compensation and Benefits

This is a full-time (37.5 hours per week), salaried position. This is a unionized position in CUPE Local 2722-05. Salary for this position is $60,000 per annum. Action Canada also provides a generous benefits program, including extended health and dental benefits, leave allowances, and RRSP contributions.

Location  

This position is Ottawa-based, with an option to work from home or in a hybrid capacity. All candidates must be legally able to work in Canada.

Hiring Process and Timeline

Interviews will take place the weeks of December 15, 16, and 19, with a start date in January, depending on the successful candidate’s availability.

The hiring process will include a one-hour panel interview to take place over video conference and a short skills-based test.
